Guest regulations
ETH Zurich welcomes numerous domestic and international guests every year. Protecting the tangible and intangible assets of ETH Zurich requires clear criteria for registration, admittance and access for this group of people. The introduction of new guest regulations on 1 July 2023 ensures adherence with relevant laws and ordinances as well as internal ETH regulations at the individual level.
Formal changes
The former guest instructions have been replaced by the new “ETH Zurich guest regulations” (including appendices A and B Guest categories and Guest terms and conditions; RSETHZ 515.2), which came into force on 1 July 2023.
The “Guidelines governing the invitation of visiting professors, academic guests and guest speakers” has been repealed as of 1 July 2023.
Content changes
The central guest management team and the responsible divisions must ensure compliance with legal requirements and internal regulations where information about the arrangements of the stay makes this necessary:
- Export control
- Licence agreements for software
- Licence agreements for information resources (library access)
- Requirements concerning entry and residence
- Information security
- Academic considerations in the case of visiting professors
The distinction between “short-term stay” and “long-term stay” has been removed and replaced by extended guest categories. Visiting professors, former long-term guests and IAM guests are now subject to the same guest instructions and are treated equally. For the guest stay, it makes no difference whether guests are physically at ETH Zurich or only have virtual access to data or systems.
There is a new Guests division in HR Operations. It is responsible for guest registration. Authorisations are assigned by the corresponding system managers.
Authorisations are granted as needed (rather than the previous scattergun approach). The basic authorisations and services that are available on request (according to license terms) are defined for each guest category. Physical access to non-public areas using a guest card or key can also be requested.
Guests may receive different access types to the network depending on their guest category.
